Meeting
Room Features
The Alvarado Public Library Meeting Room will comfortably seat
fifty people. We have two (2) six foot long folding tables,
four (4) ten foot long folding tables and over fifty (50) chairs for your use.
Meeting
Room Policy
Bookings:
 |
Bookings for Library purposes receive
priority. Staff may reserve the room as soon as they know it
is needed. |
 |
After the Library's needs are
met, all bookings are on a first-come, first-served basis. |
 |
The Library's Meeting Room is
reserved for library use on different days and at different
times. |
 |
The meeting room is also reserved for the Alvarado Area
Chamber of Commerce the first Thursday of each month from 6:00
to 7:00 p.m. |
 |

Fees:
 |
The Meeting Room Rental Fee is
$10.00 per hour or $40.00 per day. |
 |
Non-profit organizations may
use the Meeting Room free of charge with the exception of the
Cleaning Deposit Fee which is required from all individuals or
groups using the Meeting Room. |
 |
The Cleaning Deposit Fee is
$25.00 and will be refunded after the Meeting Room is properly
cleaned, the furnishings put back in their original places and
the keys are returned. |
 |
All fees are due at least one week before the
day that the Meeting Room is booked
for an Event. Please note - we can only accept cash for payment of fees. We
can not accept checks, credit cards payments, money
orders or wire transfers. |
 |
Cancellations of less than
seven (7) days' notice will result in a 50% Cancellation Fee.
Cancellations must be reported at least seven (7) days in
advance, freeing the room for other bookings. |
 |
All fees are payable by Cash or
Postal Money Order. (We can not accept cashier's checks,
company or personal checks, credit cards or other forms of
payment.) |
Damages to
or Theft of Library Property:
 |
The Renter or Rental
group/organization is responsible for any damages to or any
theft of Library Property incurred while renting the Meeting
Room. |
 |
The Library accepts no
responsibility if the individual in question does not have the
authority to book a room; the invoice for damages will be sent
to the organization or the responsible party in all cases. |
Loss
of Rental Privileges:
 |
Failure to follow this policy
or the terms described in the Rental Agreement will result in
the loss of future booking privileges. |
Publicity
and Signage:
 |
Publicity and signs, provided
by the organization or individual, must not give the
impression that the Library sponsors the program or event and
must be pre-approved by Library Staff. |
 |
All signs must be professional,
placed in the display stand provided, and removed immediately
after the program or event. |
Responsibilities:
Individuals and Groups are
responsible for -
 |
Appointing a contact person (in
all cases the organization will be sent any necessary
invoices) |
 |
Leaving the Meeting Room in
good order |
 |
Any damages to Library Property
incurred |
 |
Any theft of Library Property
incurred |
 |
Any additional janitorial
clean-up |
 |
Catering, food, cups, dishes,
utensils, masking/scotch tape,
scissors, markers, extension cords, etc. |
Restrictions:
 |
All decorating and clean-up is
to be done within the booking period |
 |
Smoking in any part of
the building, the restrooms or the hallway is prohibited. |
 |
Consumption of alcoholic
beverages is prohibited in all Library structures. In
addition alcoholic beverages will not be consumed on
the Library's parking lot or the immediate property. |
 |
The piano,
the television or the puppet
theater may not be moved to any other part of the
Meeting Room or outside the Meeting Room. |
